All product descriptions, inclusions and pricing on this site refer only  to bookings made directly with Ski Wildfire Limited.

  1. Making a booking         
Except by special arrangement bookings should start or finish on a Saturday as this is our guest change over day.


Once we have received your booking and all appropriate payments, we will, subject to availability, confirm your holiday by issuing a booking confirmation/invoice. This will be sent to you electronically. The confirmation will include any special arrangements we have agreed to and forms part of your Holiday Contract. Please check the confirmation letter and Invoice carefully as soon as you receive it and raise any queries immediately.  We require details of your flight arrival/departure times; method of transport from the airport; special dietary  requirements

2.   Contract

A binding contract between us comes into existence when we dispatch our confirmation letter and invoice to you, at which point the full deposit is payable.  English law governs this contract and all matters arising out of it. In the unlikely event of any dispute between us, we both agree that the courts of England and Wales will deal with this.

3.   Payment


Non refundable Deposit £200  per person .  For Christmas and New Year, £300 per person.
Cancellation terms apply once confirmation has been issued.
Balance no later than 8 weeks before departure
For bookings made less than 8 weeks prior to arrival, full payment is required at the time of booking
If the balance has not been paid the due date, Ski Wildfire Ltd retains all deposits paid and reserve the right to cancel the holiday and
levy cancellation charges

4. Cancellation
If we receive in writing notice, of cancellation, after the booking has been confirmed, the following charges will be payable:-
Chalet Wildfire France; other European Chalets
  0 - 28 days before departure 100% of the total cost
28 - 56 days before departure   75% of the total cost
57 +     days before departure   Full Deposit of £200 per person Christmas and New Year--£300 per person

Wildfire  Lodge Vail/Beaver Creek, and Eagle Lodge Breckenridge US;  other US and Canadian accommodation
  0 - 42   days before departure 100% of the total cost
42 - 84   days before departure   75% of the total cost
84--120 days before departure   50% of the total cost
120+      days before departure   Full Deposit of £200 per person.  Christmas and New Year--£300 per person

5. Surcharges
Single occupancy (not available Christmas, New Year, Half Term and Easter) 60% surcharge unless a concession is made in writing in your quotation or conformation invoice.

           
6. Insurance

It is a condition of booking that all clients have insurance which includes special cover for skiing and medical expenses.  The Group Leader accepts full responsibility for all costs and liabilities which would normally be covered by the insurance and must forward details of the relevant policy(ies).  Important - Your insurance policy should cover any hired equipment such as ski's and boots as alternatively any loss ,damage or theft will be at your cost!  It should also include cost of any delays and cancellation to illness etc.
         
7. Changes to Booking
Should you wish to make any changes to a booking once it has been confirmed, you must advise us in writing. Whilst we will endeavour to assist, we cannot guarantee we will be able to meet any such requests. Where we can accommodate the change, an administration charge of £25 per change will apply plus any charges imposed by suppliers. In the case of a change of outward or return date of holiday this will be treated as cancellation and rebooking -cancellation charges will apply as set out in clause 4.  Skiwildfire reserve the right to change your accommodation to that of equivalent standard should your booked accommodation become unfit for occupation such as Fire, flood, electrical, safety reasons etc. 

8. Force Majeure.
We regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by 'force majeure'. In these booking conditions, 'force majeure' means any event which we, or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riots, civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.


9.   Special requests - Including Food
If you have a special request for your party (Or your clients - if you are acting as agent), please clearly note it when making your booking or if after booking, make it in writing. Wherever possible we will try to meet any special requests, but they will only be binding if we have confirmed in writing that it can be complied with. This includes food such as nut allergies, or special meals such as vegetarian etc. Unless we have agreed in writing to provide such a service or facility, failure to meet any special request will not be a breach of contract on our part. If we undertake to pass on requests to suppliers or other service providers (for instance ski schools or airlines) we cannot guarantee such requests will be met even if we have confirmed that they have been passed on. If there are  any medical problem or disability which may affect clients'  holiday, we must be advised in writing at the time of booking giving full details. If we reasonably feel unable to properly accommodate their particular needs, we reserve the right to decline your booking, or cancel it when we find out the full details if you fail to provide these at the time of booking.

We regret that there are no guest laundry facilities

10. Arrival, Departure and Delay.
Check-in times are between 16.00 and 19.00
We appreciate that options on flights may mean that guests will arrive at the Chalet/Lodge later than 19.00.  Therefore please note dining arrangements for arrival night:
· arrival at the Lodge after 20.00 but before 22.30, Soup and a sandwich will be served
· arrival at the Lodge after 22.30 dinner is forfeited that night A  hot drinks only are provided

Morning arrivals are strictly subject to prior arrangement and availability.  This must be requested at the time of booking when we will confirm if this can be accommodated.  We reserve the right to decline early arrival or to make a surcharge. 

Departure time is 10.00.
Where clients have a late afternoon departure, and wish to leave luggage at the Chalet or Lodge we will endeavour to accommodate this, providing we are advised at the time of booking. However, guests must be packed, keys returned and still vacate the Chalet/Lodge by 10.00 in order that we can prepare for arriving guests. Latest time for collection of luggage is 15.30

We regret we are not normally in a position to assist clients  in the event of delay at their outward or homeward point of departure. Any airline concerned, may, however, provide refreshments etc.

4.  Behaviour.
Clients staying at our Chalets and Lodges accept responsibility for any damage or loss caused by any member of their party. Full payment for any such damage or loss must be made at the time either to the third party concerned or ourselves. If they fail to do so, they must indemnify us against any claims (including legal costs) subsequently made against us as a result of their actions.   We reserve the right to apply such claims via your credit card.

We expect all clients to have consideration for other people. Our chalets and lodges are strictly non-smoking and slippers are required inside the properties.  If in our reasonable opinion or in the reasonable opinion of any other person in authority any member of their party behaves in such a way as to cause or to be likely to cause distress, danger or annoyance to any third party (including other clients and staff) or damage to property, we reserve the right to terminate the holiday of the person(s) concerned without notice. In this situation, our responsibilities towards that person (including any return transport arrangements) will immediately cease we will not be responsible for meeting any costs or expenses they may incur as a result. We will not make any refunds or pay any compensation to the individual involved or to members of his/her party, or associates wishing to curtail their holiday as a result.
